How our Komodo Overwater Villa booking process works — designed to be transparent, flexible, and friction-free from initial enquiry to post-trip follow-up.

Step 1 — Initial enquiry (Day 0)

Submit your enquiry via the contact form, WhatsApp, or email. Include preferred travel dates, party size, age range, primary objectives (diving, photography, family, celebration, wellness), and budget envelope. Response within 24 hours.

Step 2 — Concierge consultation (Day 1-3)

A senior travel specialist contacts you for a 30-60 minute consultation. We map your brief against availability, weather windows, operator options, and any special requirements (dietary, accessibility, cultural, religious).

Step 3 — Itinerary proposal (Day 3-7)

You receive 2-3 itinerary options at different intensity and budget levels. Each includes day-by-day routing, included items, optional extras, and transparent pricing breakdown. We do not hide fees in fine print.

Step 4 — Refinement (Day 7-14)

You select a preferred direction. We refine the itinerary based on your feedback. Multiple revision rounds are normal and expected.

Step 5 — Provisional hold (Day 14-21)

We place a no-cost provisional hold on the boat, transfers, and accommodations for 5-7 days while you finalize. This protects your preferred dates without commitment.

Step 6 — Booking confirmation (Day 21-30)

Once you approve the final itinerary and budget, we issue a formal booking confirmation. Deposit is typically 30% to confirm; balance is due 30-60 days before departure depending on operator.

Step 7 — Pre-arrival logistics (1-2 weeks before)

You receive a welcome packet including arrival instructions, packing guide, what-to-expect briefing, emergency contacts, and final itinerary with all confirmations. We coordinate ground arrival, hotel handoff, and boat boarding logistics.

Step 8 — In-country support (during trip)

A dedicated trip coordinator is available 24/7 via WhatsApp throughout your trip. Local ground team handles any in-the-moment needs. We monitor weather and coordinate any itinerary adjustments needed.

Step 9 — Post-trip follow-up (1-2 weeks after)

We follow up with a structured debrief — what worked, what did not, suggestions for future travelers. Your feedback shapes how we evolve operator partnerships and itinerary design.

We are not a discount aggregator. We do not race to the bottom on pricing. We do not bundle unrelated extras to inflate margins. We optimize for trip quality and your satisfaction over single-booking margin.

Payment terms

Wire transfer, major credit cards (with processing fee), and select cryptocurrency are accepted. Indonesian rupiah, US dollars, euros, Singapore dollars, and Australian dollars are all acceptable settlement currencies.

Cancellation policy

Standard terms: 90+ days out = full refund minus admin fee; 60-90 days = 50% refund; 30-60 days = 25% refund; under 30 days = no refund. Travel insurance with cancel-for-any-reason coverage is strongly recommended.

Once your bespoke itinerary is perfected, we issue a formal booking confirmation. This document outlines your chosen villa, finalized dates, included services, and the payment schedule. A deposit, typically 30-50% of the total trip cost, is required to secure your Komodo overwater villa and associated arrangements. We accept various secure payment methods, and our team provides clear instructions and support throughout the transaction process, ensuring peace of mind.

Step 6 — Pre-trip concierge & preparation (Day 21 onwards)
